This is a key role in the agency, providing a wide range of administrative tasks and reception duties. In addition, the person in this position plays an important role in greeting all of the staff, clients, families, caregivers and members of the community who come into the building either in person or by phone.

Duties and responsibilities:

Reception Duties

Performs reception and telephone answering duties,; including transferring telephone callers; taking and relaying messages.

Provides secretarial support for the management team and other staff as required

Responsible for taking minutes of various Society meetings

Designs, prepares and distributes forms as required.

Maintains petty cash fund, processes cash/cheques/credit cards

Photocopying and destruction of documents

Attends to the general operation and maintenance of office equipment

Designated as System Coordinator for voicemail system. Processes incoming and outgoing mail

Maintains and updates Society’s central filing system

Facility Bookings and Services

Ensures office and meeting room areas are booked for meetings as required

Responds to rental enquiries and books rentals as required

Arranges for catering with respect to internal meetings held

Client Services

Inputs information into client database

May directly assist clients


Grade 12 completion, plus completion of up to (1) year in secretarial, business administration and/or office management program.

Three years general office experience that includes secretarial, reception and clerical functions.

Experience relating to individuals with developmental disabilities would be an asset.

Job Skills and Abilities

Demonstrated ability to operate a computer and related application software programs, mainly the MS Office suite and Sharevision.

Ability to effectively operate telephone switchboard, photocopier, fax and other office equipment.

Demonstrated ability to type 60 words per minute.

Ability to communicate effectively, orally and in writing, with Board, management, staff, clients and public, at times under challenging circumstances.

Ability to organize work, prioritize urgencies, and carry out the duties of the position, either while working as a member of a team, or independently.

Demonstrated problem solving skills.

Ability to adapt to a frequently changing, busy environment, and comfort working through frequent interruptions.

Additional Information:             

This position requires Union membership.

Hours: 35 hours per week, Monday to Friday

Wage rate: Starts at $17.47 per hour plus benefits (dental, extended health, LTD, Municipal Pension Plan)
