About Us
Food Banks BC is a registered charity that works to empower, inspire and support the 100 member food banks located throughout our province. We constantly seek ways to improve the level of service and assistant to our food banks whether through food-raising, fund-raising or educational opportunities.


About the Role
We are seeking a dynamic admin assistant who is inspired by our cause and wants to use their unique set of skills in a role that is challenging and offers potential for growth. An understanding of the importance of charities and empathy for the challenges that food banks in particular face, is vital.


About You
Your superb organizational skills, extreme attention to detail and creative problem-solving skills are critical to the role. You are very patient, tolerant, understanding and are an excellent communicator, both written, and in person. You have a gracious, welcoming, professional manner and the ability to interact tactfully and diplomatically with a wide variety of people.


Job Description
Under the direction of the Executive Director and the Finance/Office Manager, the Administrative Assistant performs a variety of duties that bring value for our members; build sustainable partnerships; strengthen fundraising efforts and support public awareness and education.


Occasional evening and weekend hours will be required as well as some travel during special events, conferences or meetings held in other BC locations.


A teachable attitude and willingness to learn and grow in this role is as valued as having the following skills: Membership Support
Demonstrates excellence in dealing with all members and association stakeholders when fielding telephone calls, email and other correspondence, ensuring that enquiries and requests are dealt with promptly and courteously. Strives to bring complete satisfaction to these interactions to the best of the association's ability.
Assists in keeping up-to-date member lists, database, records and files ensuring that all contact and member Food Bank info is accurate.
Assists with the creation of member newsletters, correspondence and other member information opportunities.
Keeps Executive Director fully informed and up to date with all member concerns, issues, challenges or successes.
Always seeks ways to continually improve our membership support, communications and overall value for our members.


Programs and Initiatives
BC Sharing - ensures that members are supplied with adequate coupons and other materials necessary for maintaining their stores and assists in managing and promoting the BC Sharing Coupon program.
Hunger Count - Ensures that members receive surveys, collects results, advises Food Banks Canada of results.
Fundraising Events - assists with preparation before, as well as on site during the event. Also works in conjunction with ED and Finance Manager to process donations and facilitate payments to members.
Keeps current on all programs and initiatives facilitated by Food Banks Canada, Food Banks BC, as well as other member driven programs, ensuring that all key deadlines are met and programs are supervised.
Assist with the exploration of new opportunities for food bank fund raising opportunities.


General Administration
Supports the Executive Director and the Finance/Office Manager where required in all day to day operations, travel and meetings.
Assists in the planning and execution of all events for the association and for members where required including the AGM, Conference and Regional meetings.
Maintains all general files, lists, and documents necessary for the operation of the association.
Maintains website and other social media endeavours such as Facebook, Twitter, etc., as required.
Facilitates thank you letters and other forms of appreciation for donors and other stakeholders.
Assists with writing and editing of other materials such as grants, brochures, press releases and other media for the association.
Oversees any office supplies and inventory ensuring that all materials are ordered and kept stocked at all times.
Performs weekly light office cleaning and organizing duties.
Performs any other duties as assigned by the ED or Finance Manager.


Skills Required
Demonstrates strong written and communication skills with an ability to draft, proof and edit a range of written materials with a meticulous attention to detail and accuracy.
Resourceful and independent, while remaining comfortable working within a collaborative, team-oriented environment.
In cooperation with the ED and/or Finance Manager, works to develop, supervise and maintain any volunteers for regular office support or special projects.
Handles sensitive and confidential information appropriately and with discretion.
Proactively approaches their work with an ability to anticipate future needs and prioritize work effectively to meet multiple deadlines in a busy environment.
Always seeks ways to improve and bring innovation and creativity to our processes and operations.


There will be a 3 month probationary period. Starting wage will range between $14-18 hourly based on experience and relevant skills.
