Scale Specialist

Reporting to the Senior Scale Specialist, the Scale Specialist is responsible for collecting, importing and processing daily scale records from scale locations in various formats and must have the ability to communicate with multiple contacts on a daily basis. Accurate and timely auditing of scale submission records to HBS according to the operational Scale Site Authorization is required. This position is suited to a well-organized and detail oriented individual who possesses the ability to problem solve, multi-task and work well with minimal supervision while under pressure and deadlines.
Administer and manage production for WFP, Stump to Dump contractors, Timber Sales (BCTS & WTA) and other wood flow scenarios as required.
Audit the daily scale for accuracy against the source data, importing to LIMS where applicable while ensuring integrity maintained throughout the scale processing activities
Provide daily production reporting to the operation and maintain production tracking records
Maintain excel spreadsheets for 3rd party companies hauling to WFP sites (load detail summaries, boom addendums & YTD ledgers for road use and dump & booming charges)
HBS ISA Duties – audit daily submissions ensuring all loads/samples have been received without error; Perform weekly, bi-weekly and monthly duties as laid out in the HBS Reference Guide, Industry HBS Roles and Responsibilities for ISA (Industry Site Administrators)
Provide support for scale sites and scalers and assist with compliance issues identified through government legislation (Scaling Regulation, Timber marking and Transportation Regulation, Forest Act, etc.)
Initiate technical support for handheld scaling devices and weigh scaling hardware/software if necessary
Maintain annual Scaler Authorizations (weighmasters & special forest products) if applicable
Ensure consistent and accurate reporting provided for internal and external parties as required.
Coordinate with foremen boom crew/DLS crew for informational discussions, problem-solving
Audit boom cut-off documentation, process completions and provide boom addendums to be distributed accordingly
Perform unscaled boom reconciliations and submit required documentation to MFLNRO
Maintain LIMS database tables as outlined in detailed job matrix
Receive & process Notice of Active Logging forms for all new blocks
Monitor scale adjustments regularly for all unscaled loads and submit to finance monthly
Prepare LIMS Contractor advances, holdbacks and misc. invoicing as required.
Ensure all LIMS contracts up to date and meet Precedent Contracts and Contract Management Policy requirements. On bi-weekly LIMS contractor pay schedule review and verify preliminary statements for accuracy
Manage boom-stick and gear inventories and track all movement of sticks and gear
Active LIMS Team member – attend and provide input at meetings; provide meeting support; stay current with system technology
Assist other operations as required
High school diploma required
College diploma or university degree considered an asset
1-2 years’ experience in the forestry industry
Previous accounting experience considered an asset
Skills, Knowledge and Required Competencies
Strong attention to detail and accuracy
Familiarity with general accounting concepts and administrative processes
Knowledge and/or working experience in Log Inventory Management System (LIMS), Log Data Manager (LDM), and the Harvest Billing System (HBS)
Excellent communication and interpersonal skills
Proficient in Microsoft Office specifically Excel, Word, Outlook
Able to work well under pressure and deadlines
Highly organized and able to maintain focus amidst multiple interruptions
Highly motivated self-starter who takes initiative with minimal supervision
Dependable, responsible contributor committed to excellence and success
Able to identify problems analyze and/or ask questions to determine best solution and perform corrective actions as per company and regulatory guidelines
